DEEPLEEX is AI-powered planning and execution system

The AI forecasts project timelines, balances workloads, and assigns tasks intelligently — helping your team avoid delays, reduce costs, and deliver with precision.

Deepleex main

Deepleex solves most project management problems

Unpredictable timelines and costs

Project deadlines and budgets deviate from the plan with any changes, and the real numbers become clear far too late.

Deepleex builds the work plan based on actual resources, task composition, and performers’ productivity, allowing you to constantly see the current deadline and cost of completion, as well as their deviation from baseline values.

Imbalanced workload

While some employees are overloaded and burn out, others remain idle, causing financial losses. Optimally assigning performers in manual mode is time-consuming and practically impossible in most projects.

Deepleex automatically balances the workload, evenly distributing tasks while taking into account specialists’ work schedules.

Subjective performance evaluation

Managers often lack quantitative metrics to assess employees’ performance. As a result, there is no objective understanding of who is truly effective and who is holding back team progress.

Deepleex calculates employee productivity and cost in real time and clearly displays the dynamics of these metrics over time.

No unified workspace

When tasks, files, discussions, and plans are scattered across different tools, the team loses context, time, and control. This leads to mistakes and inconsistent actions.

Deepleex brings together requirements capture, task creation and decomposition, planning, communication, and progress tracking into a single workspace, providing all participants with a transparent and maximally efficient project delivery service.

Why Deepleex is Better

Other systems

  • Unreliable deadlines — the plan quickly becomes outdated
  • No clarity on why a deadline was missed
  • Uneven team workload (only discovered too late)
  • All employees treated as identical resources

Deepleex

  • Dynamic plan — deadlines are automatically recalculated
  • Clear visibility into the exact reason for every task deviation
  • Workload forecasted in advance — conflicts become visible before the project even starts
  • Takes into account each person’s real skills and actual productivity

FAQ

About the Product and Its Purpose
  • What is Deepleex?
Deepleex is an intelligent system for planning and executing tasks/projects: you set the work, build a plan, distribute workload across performers, track progress, and receive signals where the plan is “breaking” or requires attention.

  • Which teams is Deepleex suitable for?
Teams that handle a large number of tasks, dependencies, roles, and constraints on resources/deadlines: product & project teams, software development, implementation projects, operational units, service/support teams.

  • How does Deepleex differ from a regular task tracker?
A regular tracker records tasks and statuses. Deepleex focuses on the work plan, deadlines, and resources: it takes into account work breakdown structure, roles/skills, workload, productivity, calendars, and helps you actually meet deadlines.
  • Is there a free trial period?
Yes. A trial subscription is granted upon first login: 2 weeks, Middle-level access rights, limited to 50 users. After the trial ends, the user can independently choose a new subscription or continue on the free plan with functional limitations. This allows you to keep the project running and gradually expand system usage as team needs grow.

  • What can you realistically test in 2 weeks?
Build project structure, add the team and roles, import a pool of tasks/requirements, create a phased work plan, enable AI planning mode and observe how deadlines and workload change when parameters are adjusted.

  • Is it hard to get started without a full implementation?
You can start with a pilot: one project, one team, minimal set of entities (phases, requirements, tasks, work items). This quickly demonstrates the value.
  • How is the work hierarchy organized in Deepleex?
You can structure work as: Project → Section → Requirement → Task → Work item. This helps preserve context and manage dependencies at different levels.

  • What are “phases” and why are they needed?
Within a project you can create phases and assign tasks to them, forming a clear work plan.

  • Is there a Gantt chart?
Deepleex focuses on visualized plans with deadlines and dependencies inside the work plans module; most users care primarily about the calendar view and logical dependencies.
  • What does “AI planning” mean?
It is a mode in which the system forecasts deadlines and optimizes resource allocation: it helps distribute work among performers considering constraints and recalculates the plan when changes occur.

  • What is required for AI planning to work correctly?
Minimum: task/work breakdown structure, effort estimates, performers/roles, working calendars. The more accurate the data on skills, productivity, and actual time spent — the better the forecast.

  • Does the AI make decisions on its own or suggest options?
Typical scenario — the system builds a plan and highlights conflicts in deadlines/resources, while the human controls priorities and other planning parameters. Importantly, you do not lose control — you get a powerful assistant for calculations.

  • What happens when priorities or tasks change?
The plan is recalculated, and the system shows “bottlenecks” and attention signals: where there is under-utilization, deadline slippage, scheduling conflicts.

  • How accurate are the deadline forecasts?
Accuracy depends on input data quality and execution discipline. The main value is that you see the forecast well before the deadline becomes a problem, allowing proactive management of resources and priorities.
  • Can you account for skills and specializations of performers?
Yes — the planning logic relies on roles/profiles, skills, and resource constraints. This is the foundation for correct allocation and planning.

  • How are access rights controlled?
The system has a permission model (who sees what and who can change what) — critical for large organizations with multiple teams/projects.
  • How does Deepleex help control execution?
Through execution statuses, deadline control, progress against the plan, and “requires attention” signals when the plan starts deviating (under-load, scheduling conflicts, slippage).

  • Is there a Kanban board for execution?
Yes — task execution is supported via Kanban-style board and statuses (To Do / In Progress / Blocked / Done) so the team can work comfortably on a daily basis.

  • Are there in-task communications?
Yes — built-in chats for coordination and escalations, so discussions are attached directly to the activity/task instead of living in separate messengers.
  • What analytics are available to managers?
Both basic: productivity trends, engagement, resource utilization & cost, plan deadline/budget forecast, risk points, as well as advanced exportable reports.

  • Is there time tracking?
Yes — you can record actual time spent (timesheets) and compare plan vs. fact. This improves future forecasting and transparency.
  • Suitable for large organizations?
Yes — especially if you have many teams/projects and need strict structure, roles, permissions, and plan control. This is Deepleex’s native environment.
  • What are “scenarios” in Deepleex?
Scenarios are business-process templates that allow standardized creation of projects, requirements or tasks, and passing typed parameters between them.

  • Can you configure custom task statuses?
Yes, Deepleex supports custom task and requirement states, but in a somewhat different way than many other systems. When a task is broken down into work items, the custom state is automatically calculated based on the name of the last started work item inside the task. This approach lets you reflect your real process without complex additional configuration.
